Many of you have been busily reading your newsletters and registering for our AGM. Thank you! This year, by popular vote and as something a bit special for the year of our 40th anniversary, we are off to St Malo.

Before continuing, let me correct an an error in the newsletter. What I meant to say didn't quite come out right in my text.

Corrected cabin prices:

- £39 per head if two share a cabin. Price includes two nights

- £29 per head if four share a cabin. Price includes two nights

For those that already sent cheques, we can sort out the balance on the day. I will contact you beforehand to ensure you are OK with the revised cost. For those travelling toute seule (alone), just practising my French, we'll pair or quad you up nearer the time.

AGM 2013 – travel information and registration instructions

In view of the 40th anniversary of the association, we have planned a special AGM weekend in St. Malo, France, via an overnight ferry from Portsmouth. The AGM will be held in a wonderful restaurant which offers excellent water front dining with great value food. Please register your intentions now to help me plan travel and dining and to help us secure excellent group travel rates.

Group travel requires that we need to confirm arrangements well in advance. The sooner we book, the sooner we can be sure that cabins will be available. The balance must be paid six weeks before travel. This gives you three options: Here’s the plan:

OPTION 1 – yes, reserve my ferry cabin now

Confirm your attendance now and secure your berth by immediately returning the registration form to Ken Surplice, 24 Norton Ride, Basingstoke RG24 8SF, together with a cheque for £29 or £39 per head depending on which cabin arrangement you choose. The association will make your bookings immediately. Your cheque will be cashed around January 18th.

OPTION 2 – let me decide after Christmas, if cabins are still available

Please return the registration form now so I know your intentions. Send me payment before January 18th. The ferry company recommends that you book and pay six weeks before departure. Cabins will be subject to availability. You can make your final decision on the Friday night on-board dinner nearer to departure. I wilI contact attendees three weeks before departure to finalise numbers for our dinner reservation.

Here’s everything you need to know to get you started on planning your AGM 2013 weekend. I will make the ferry booking to obtain group rates. You just need to show up and park, and bring ferry payment with you. More information will be provided when you register.

Timing

Group check in is expected 90 minutes before sailing vs. 45 minutes normally. I find this a little too early so will aim for 1900.

• Fri Mar 8th depart Portsmouth 2230 Brittany ferries sailing

• Sat Mar 9th arrive St. Malo 0730

• Sat Mar 9th lunch and AGM

• Sat Mar 9th depart St. Malo 2030

• Sun Mar 10th arrive Portsmouth 0800

Costs

• Ferry Portsmouth-St-Malo-Portsmouth with overnight cabin/bed

o £39/head if two per cabin

o £29/head if four per cabin

• Dinner on ferry

o £20.50 for choice of hors-d’oeuvre, dish of the day, cheeseboard, choice of desert, water

o £23.50 as above, plus 75cl wine between three persons

o Or bring your own picnic

o I propose an organised lunch on Friday night and leave people to do their own thing on the return on Saturday night

• Saturday AGM lunch in St. Malo – to be decided, but around €22

Port information

• Head for Brittany Ferries Portsmouth, Wharf Road, Portsmouth, Hants, PO2 8RU. Tel: 0871 244 1402. GPS co-ordinates: 50.811823,-1.088367

• If coming by car, leave your car in Portsmouth. Choose from:

o The car park inside the port operated by APCOA. Cost £20.

o Cheaper parking through en.parkopedia.co.uk or www.Parkatmyhouse.com 

• If coming by train, take a taxi at a cost of around £5 or walk for 30 minutes.

• If coming by coach, these stop at the port terminal.

AGM and timing • Spend the morning enjoying St. Malo.

• Lunch will be held at Restaurant Le Yacht Club, around 1pm. We will commence the AGM after lunch, around 2pm.

• Enjoy more of St. Malo after AGM

• Consider dinner ashore before check in around 1900-1915

AGM UPDATE 1

Here's a cumulative list of news and changes made since the AGM information was published in our newsletter.

If you already sent a cheque and we need to change the amount, we will sort this out this upon departure.Please note that the fare is inclusive. It includes the journey and use of a cabin.

Departure timing

You can see in the updated article above that the ferry sailing time is postponed 2230. This is very good news for those travelling from afar. Plan to arrive at 9pm for group check in. The bad news is that 2230 is too late to eat. I will contact the ferry company to see if we can dine onboard before we sail or if we should plan a dinner ashore.

Correction

Where the article said "You just need to show up and park, and bring ferry payment with you", please ignore the part about bringing payment as you will have already sent this to secure your ticket and berth.

In the next update I'll share the names of those who have registered so far.

AGM UPDATE 2

With one week to go before Christmas we have 36 people already registered from yachts Vol-au-vent, Tara, Speedwell, Abacus, Penlu, Lucky Devil, Shemar, Annie, Nosey, Petra, Lady Penelope, Sunflower, Sophia, Can y More, Phun and Nauti.

Thank you to those that have signed up already. I will make the first wave of ferry bookings next week. For everyone else, I eagerly await your registration forms [:D].

AGM UPDATE 3

With 38 people now registered, we have reserved the first batch of cabins. If you sent me your details already, your voyage is secured.

News

  • We can add more cabin bookings as they come in
  • Prices remain at £39 a head for two in a cabin and £29/head for 3 or 4 in a cabin
  • Singles - one person in a cabin is £65 but we will pair people up to get back to a maximum of £39/head. Hope for an even number. We have one single voyager registered so far.
  • Dining - the ferry company is investigating the possibility to dine aboard before departure on Friday night

AGM UPDATE 4

  • 55 persons have registered for the AGM. The first batch of cabins has been reserved and paid for and I will request the second set this coming Monday.
  • The ferry company can serve dinner from 9pm on Friday night. This is a bit late but a quick poll suggested that could be OK for a late dinner on-board. I will contact participants to explain the options.

AGM UPDATE 6

Folks, we are now have 65 persons attending the AGM. Thank you all for your support and thank you even more for your prompt payments. Everything is going remarkably well concerning ferry arrangements.

Now I will move on to menu planning and hope for equally good fortune. I am expecting around 46 persons for on-board dining as we depart Portsmouth and will confirm arrangements in a forthcoming email. All dining payments will be collected during the cruise. Please bring your chequebook, thank you.
